Privacy Policy
Last updated 10 October 2026
This policy explains what Pearl IMS Technologies Private Limited does with personal information: what we collect through this website, what we handle on behalf of the institutes that use Pearl IMS, and what choices you have.
1. Two different roles
This is the most important thing to understand about how Pearl IMS handles data, because it determines who you should go to with a question.
For the information inside the platform — students, guardians, staff, attendance, results, fees — the institute decides, and we carry out. Your school, college or academy determines what is collected and why; we process it on their instructions in order to run the service for them. That data belongs to the institute. If you are a parent, student or member of staff and you want to see, correct or delete your records, contact your institute first — they hold the relationship with you and they instruct us. We will support them in answering you, and we will not act on such a request without them unless the law requires us to.
For our own business — this website, enquiries, quotations, billing contacts and support correspondence — we decide, and we are responsible. Those parts of this policy apply to us directly, and you can contact us about them at any time.
2. What this website collects
Browsing this website does not require an account and we do not ask you to identify yourself to read it.
- Enquiry forms. When you use the contact form we receive the name, email address, telephone number, institute name and message you provide. We use these to answer you and to follow up on your enquiry, and we keep the correspondence while there is an active enquiry or relationship.
- Server logs. Our hosting records ordinary technical information about requests — IP address, time, page requested, browser and referring page. This is used to keep the site running and secure.
- Institute logos. We display the logos of institutes that use Pearl IMS, with their agreement. An institute can ask us to remove its logo at any time and we will.
This website does not run third-party advertising or analytics trackers, and it does not build a profile of you.
3. Signing in
When you sign in from this website, your username and password are sent directly to the Pearl IMS application. The website does not receive them, does not process them and does not store them — it has no copy to lose. Once you are signed in, the application issues a token that your own browser stores so you stay signed in; it is held on your device, not on this website’s server.
4. What the platform holds for institutes
Acting on an institute’s instructions, Pearl IMS stores the records a school or college needs to operate. Depending on what the institute chooses to use, that typically includes:
- student records — names, contact and family details, enrolment, class and section;
- guardian and parent contact details;
- staff and teacher records;
- attendance, examination results and academic progress;
- financial records — fee invoices and receipts, and where the institute uses them, book, uniform and hostel charges and other income and expenditure;
- documents and images the institute uploads.
We use this information only to provide and support the service. We do not sell it, rent it, or use it to advertise to anyone. We do not use an institute’s data to train machine-learning models.
5. Students’ and children’s information
Pearl IMS is used by schools, so much of the information in it concerns children.
We do not collect information from children directly. It reaches the platform because an institute enters it as part of running its own operations. The institute is responsible for having a lawful basis for that, for telling students and families what it does with their information, and for obtaining consent where consent is what the law requires. Our role is to protect the data, restrict access to it, and act only on the institute’s instructions.
6. Where information is kept
Pearl IMS runs on cloud infrastructure. Uploaded files, including institute logos and documents, are stored in Amazon Web Services S3 storage in the United States. Our websites are hosted with a commercial hosting provider.
This means information may be stored and processed outside Pakistan. We rely on our providers’ contractual commitments and security controls to protect it in transit and at rest. If this matters to your institute, raise it with us — we can discuss the arrangements in your agreement.
7. Who else sees it
We share personal information only where we need to:
- Service providers who help us run Pearl IMS — cloud hosting and storage, and comparable infrastructure suppliers. They may process the data only to provide their service to us.
- The institute whose data it is, and the users it has authorised.
- Legal and regulatory bodies, where we are required by law to disclose, or where it is necessary to establish or defend a legal claim.
- A successor organisation, if the business is sold or merged. We would tell affected institutes.
We do not share personal information with anyone else without instruction or a legal obligation.
8. How long we keep it
Institute data in the platform is kept for as long as the subscription runs. When an agreement ends, we provide a final export within 15 days and then return or securely delete the institute’s data within 30 days, following the institute’s written instructions. Where an institute asks us to retain something longer, or the law requires it, we keep only what is needed and for no longer than necessary.
Enquiries and business correspondence are kept while there is an active enquiry or relationship, and afterwards only as long as needed for our records and legal obligations.
Backups are taken regularly and are overwritten on a rolling cycle, so deleted data may persist briefly in a backup before it is cycled out.
9. How we protect it
We apply administrative, physical and technical safeguards to protect information against unauthorised access, disclosure, alteration and destruction. These include encrypted connections, access limited to users the institute has authorised, role-based permissions within the platform, and regular automated backups.
No system is completely secure, and we do not claim otherwise. If a breach affects an institute’s data, we will tell that institute promptly and work with them on what to do next. If you believe an account has been compromised, tell us and your institute straight away.
10. Your choices
You can ask us to give you a copy of the personal information we hold about you, to correct it if it is wrong, or to delete it where we have no continuing need or legal obligation to keep it. You can also ask us to stop sending you marketing messages, and we will — without affecting service messages about an existing subscription.
Where the information concerns a student, parent or member of staff of an institute, the request belongs with that institute, for the reason set out in section 1. Send it to them; they will instruct us.
Write to support@pearlims.com. We will respond as quickly as we can, and in any event within a reasonable period. We may need to verify who you are before acting on a request about personal information.
11. Cookies and browser storage
This website uses only what it needs to work. WordPress sets a cookie if you log in to administer the site, and may set one if you leave a comment. The sign-in panel uses your browser’s local storage to hold the token the application issues after you sign in, so you are not asked for your password again on every page. None of this is used to track you across other websites.
You can clear or block cookies and local storage in your browser settings; the sign-in panel will stop remembering you if you do.
12. Changes to this policy
We will update this page when our practices change. The date at the top shows when it last changed. Where a change materially affects an institute’s data, we will tell that institute rather than relying on a change to this page.
13. Contact us
For anything about this policy, or about how we handle personal information, contact support@pearlims.com, or write to Pearl IMS Technologies Private Limited, Office 1391 Street 56, F-17/2 F-17, Islamabad, 44790, Pakistan.
If you are not satisfied with our response, you may be able to refer the matter to the relevant data protection authority in your country.
